Terms of service

Last updated: July 2026

These terms apply to all interactions with Clarity HR Studio, whether you purchase an HR template, access a free resource, or engage our bespoke consultancy services. Please read them carefully before using our website or placing an order.

1. About Clarity HR Studio

Clarity HR Studio is a trading name operated by Clarity HR Studio Ltd, providing HR document templates and bespoke HR consultancy services to businesses in England and Wales.

By accessing our website, purchasing any product, using any free resource, or engaging our services, whether by phone, email, video call, or in person, you agree to be bound by these Terms of Service.

If you do not agree with these terms, you should stop using our website and cease engagement with Clarity HR Studio.

2. Governing Law

Our products and services are created in accordance with the laws of England and Wales. You are required to comply with those laws when using our services. We will not be liable for any loss arising from our compliance with statutory or regulatory obligations.

Our HR templates and consultancy services are relevant to employment law in England and Wales only and are not suitable for businesses governed by the laws of Scotland, Northern Ireland, or any other jurisdiction. It is your responsibility to read the full product descriptions before purchase.

3. HR Document Templates

Our HR templates — including employment contracts, letters, policies, checklists, and document bundles, are professionally drafted by a CIPD-qualified HR professional and are designed to provide practical, useful documents for small businesses. However:

  • Templates are general in nature and have not been drafted with your specific circumstances in mind.
  • Templates are written for use under the laws of England and Wales only and are not suitable for any other jurisdiction.
  • The price of a template reflects the fact that it is a general document, not a bespoke one. We believe that having a professionally drafted template in place is significantly better than having no document at all.
  • If you choose to adapt a template for your specific situation, you do so at your own risk. We strongly recommend you seek independent HR or legal advice before making substantive changes.
  • We will not be liable for any matter arising from the use, misuse, or incorrect completion of our templates.

4. Bespoke HR Consultancy Services

Where you engage Clarity HR Studio for bespoke HR advice, tailored document drafting, or consultancy sessions, the following terms apply:

  • Any HR advice given verbally (by phone, video call, or in person) is not intended to be relied upon unless confirmed in writing. If you wish to rely on oral advice, please request written confirmation.
  • If you wish to record any session, please inform us at the outset of the session.
  • It is your responsibility to provide us with full and accurate information about your circumstances. Advice provided on the basis of incomplete or inaccurate information may not be suitable.
  • You remain fully responsible for decisions made in relation to your business and employees.

5. Employment Status

Clarity HR Studio and its owner are not employees or workers of your business. We operate as an independent contractor. Neither party may act as agent for, or make commitments on behalf of, the other party without prior written agreement.

6. Confidentiality

We treat all information shared with us in the course of an engagement as confidential and will not disclose it to third parties without your consent, except where required by law.

We reserve the right to mention that you are a client of Clarity HR Studio on our website or in our marketing materials, but we will not disclose the nature or content of your engagement without your permission.

We may, on occasion, use engagements as anonymised case studies in our marketing, provided that your identity and your business's identity are fully protected.

7. Your Account

When you place an order on our website, a Shopify account may be created on your behalf to hold your order information and personal data. By purchasing from our store, you agree to this. You are responsible for maintaining the confidentiality of your account login details. Only one account per person is permitted.

8. Quality of Service

We are committed to providing an excellent level of service and to maintaining templates that are accurate and up to date. However, employment law changes frequently, and templates reflect the law at the time of drafting. We make every effort to update our products when the law changes.

No legal responsibility is accepted for any errors, omissions, or misleading statements on our website, in our products, or in any free resources we provide. If you believe you have identified an error in a product you have purchased, please contact us and we will investigate and correct it where required.

9. Disclaimer — Not Legal Advice

The information provided on our website, in our free resources, and in our HR templates does not constitute legal advice. Clarity HR Studio is an HR consultancy, not a law firm, and cannot act as a substitute for qualified legal advice.

Nothing on our website or in any document we provide should be understood as a recommendation to rely on it without also seeking independent legal advice where your situation requires it. If you are facing a complex employment dispute, litigation, or regulatory investigation, you should consult a qualified employment solicitor.

10. Professional Indemnity Insurance

Clarity HR Studio holds professional indemnity insurance. Our insurance protects against claims arising from professional advice and services provided in the course of our business.

It is your responsibility to ensure that you hold appropriate insurance for your own business, including employer's liability insurance if you employ staff. We cannot be held liable for claims arising from the actions or conduct of your employees.

11. Limitation of Liability

We provide all services with reasonable care and skill. Our liability to you is limited to losses, damages, costs, and expenses that are directly caused by our negligence or wilful default.

To the maximum extent permitted by law, we will not be liable for any loss or damage where:

  • You or others have provided us with incorrect or incomplete information.
  • You have failed to act on our advice or respond promptly to our communications.
  • The loss results from decisions made by you in relation to your business or employees.

We will not in any circumstances be liable for indirect, consequential, incidental, or punitive losses, including but not limited to: loss of profit, loss of business, loss of revenue, loss of anticipated savings, or damage to reputation.

Where we are jointly liable with a third party, our liability will be proportionate to our contribution to the loss and will not be increased because of your inability to recover from any third party, or any limitation of liability you have agreed with a third party.

12. Intellectual Property

All intellectual property rights in our website content, HR templates, guides, blog posts, graphics, frameworks, and any other materials we produce are owned by Clarity HR Studio (or its owner) and are protected by copyright law.

  • You may use purchased templates within your own business for their intended HR purpose.
  • You may not reproduce, resell, modify for commercial gain, share with third parties, or distribute our templates or any other content without our prior written consent.
  • Free resources downloaded from our website are for your personal business use only. They may not be resold, redistributed, or used as a basis for competing products.

If you are an HR consultant, recruiter, or competitor downloading our products with the intention of reselling or repurposing them, we will take legal action to protect our intellectual property rights.

13. Digital Products — Refunds

Due to the digital nature of our HR templates and document bundles, our ability to offer refunds is limited. Please refer to our Refund Policy for full details.

14. Complaints

We are committed to resolving any concerns quickly and fairly. If you are unhappy with any aspect of our products or services, please contact us at hello@clarityhrstudio.co.uk. We will investigate your complaint promptly and do everything reasonable to put it right.

15. Changes to These Terms

We may update these Terms of Service from time to time. The most current version will always be available on our website. Continued use of our website or services after any update constitutes your acceptance of the revised terms. Where changes are material, we will make reasonable efforts to notify you.

16. Privacy and Data Protection

We are committed to protecting your privacy and handling your personal data in accordance with UK data protection law. Please see our Privacy Policy for full details of how we collect, use, and store your data.
